ILO Strategy Meeting 2019

Please book your travel and accommodation following the information below and afterwards register on the Indico page providing details about your travel arrangements. If you need to wait with your bookings but know you will attend the event, you can register here on Indico already now. We would however like to encourage you to arrange your travels first so that you can share your travel details when registering. This will help us to plan. Thank you for your understanding!
Event-related costs
The European Spallation Source will reimburse travel costs of 1 ILO per country. Other participants, such as members of AFC, are kindly asked to cover their travel and accommodation costs on their own. Catering during the event will be complimentary. Those who qualify for reimbursement, please remember to keep original receipts and boarding passes. More information about the reimbursement procedure is available here.
Location
The workshop is set up as a “lunch to lunch” event from Monday, 24 June to Tuesday, 25 June. A networking dinner will take place on Monday at 6pm. Please note the event will be held in two different venues in Budapest: Wigner Research Centre on Monday, and D8 Hotel on Tuesday. A tour of Wigner can be arranged for those interested. The tour will take place before the official start of the event on 24 June at 11am. Please indicate your interest in the registration form.
Booking your travel
ESS encourages all participants to fly in on Monday and fly out on Tuesday. If flight options do not allow for arrival at Wigner by Monday lunchtime or if a Sunday flight is more economical, participants are welcome to arrive already on Sunday. ESS will arrange shuttle to/from airport for ILOs who are eligible to have their costs reimbursed. The shuttle ride from the airport to Wigner on Monday can take up to 1,5 hours. The D8 Hotel is located in the centre and thus closer to the airport. Only economy flight tickets are eligible for reimbursement. We kindly ask you to share your travel details when registering on Indico so that we can coordinate shuttle services accordingly.
Booking your accommodation
ESS has arranged a discount in D8 Hotel for all participants. Please book your room via this link: https://reservations.travelclick.com/106799?groupID=2552047&adults=1. Code is ILO2019. Example: If you book 2 nights, please select from the calendar Jun 23 till June 25, as you will check out on the 25th. The online booking surface is asking for a credit card guarantee, please note that it doesn’t mean a payment, you will be not charged. As mentioned above, we encourage all participants to fly in on Monday and fly out on Tuesday. If this is not possible, those eligible will have a maximum of a two-night accommodation costs reimbursed by ESS. Any additional nights will have to be covered by participants themselves. We kindly ask you to make your booking until June 10th, due to limited room capacities at the peak of the tourist season in Budapest.
